Position description

The Alumni Engagement Officer-Events (AEO-E) will oversee, with the assistance of staff and volunteers, over 30 events per year ranging in size from small receptions to large multi-event Reunions with over 600 attendees. The AEO-E will be responsible for developing the concept for the events, advertising, sponsorship, and logistics. 

Position Responsibilities

  • Communicate professionally and effectively with internal and external audiences regarding event goals, purpose, and progress reports.
  • Oversee the production of letters/e-invitations and other appropriate event correspondence
  • Collect and process event participant registration information
  • Maintain accurate cost estimates, budgets, and expense reports for each event
  • Coordinate the appropriate on-campus support for the events
  • Execute the events like Reunion, fundraising golf tournaments and Homecoming
  • Assist in the appropriate follow-up for guests/participants, including preparing mailing procedures, updating letters, and distributing event memorabilia, as appropriate
  • Manage diploma framing program

 

Qualifications/skills

  • Bachelor’s degree or equivalent.
  • Minimum three-years of progressively successful event planning experience
  • Knowledge of event management principles and public relations.
  • Must be willing to travel and have a driver’s license.
  • Proven skills in preparing written reports and presentations.
  • Professional demeanor, flexible and able to respond to multiple demands.'Strong word processing, desktop publishing, spreadsheet experience, Microsoft Teams and Zoom.
  • Professional experience posting on social media platforms.
  • Strong administration, telephone and interpersonal communication skills, detail and “big picture” oriented.
  • Able to update and use alumni website
  • Flexible and able to respond to multiple demands.
  • Must be flexible regarding work schedule.
  • Preferred advancement/donor event experience and knowledge of Eventbrite and email management systems.
  • High level of organizational skills with strong attention to detail is required
  • Able and willing to take responsibility.
  • Fundraising experience or education preferred.
